Privacy Notice
Effective date:
This Privacy Notice explains how Moonveil AI Inc. ("Moonveil", "we", "us") handles personal data when you use Meetini, including the Meetini desktop app, the meetini.net website and your Meetini account. It should be read with the Terms of Service.
1. Notice at collection
When you sign in, use the desktop app or subscribe, Meetini collects the categories of personal information in Data we handle, for the purposes in Why we use it, and keeps it as described in How long data is kept.
Moonveil AI Inc. does not sell Meetini personal information and does not share it for cross-context behavioral advertising. Meetini's website and desktop app do not include advertising or analytics integrations.
This commitment covers Meetini. Other Moonveil AI Inc. products are covered by their own notices.
2. Data we handle
- Account data: your sign-in identifier, email address and the profile details your sign-in method provides, through Clerk.
- Live meeting audio: audio from your microphone and, if you allow it, system audio, which can include other participants' voices. It is sent through Meetini's server to OpenAI for live processing. Meetini does not upload a full-meeting audio recording to your cloud history.
- Meeting text: transcripts, notes and other text generated from your meetings. While you are signed in and cloud sync is on, new meeting text is stored in your cloud transcript history.
- Data kept on your device: app settings, transcripts and notes you choose to keep locally, and, if you choose to enroll your voice, short voice samples (WAV files). The app derives your voiceprint from those samples; whether and how the derived voiceprint is cached on your device depends on your app version. Voice samples, job descriptions and resumes are not uploaded to your cloud history.
- Voiceprint (optional sync, in app versions that offer it): a voiceprint is biometric-derived data. It is a 192-dimensional speaker embedding calculated from your enrollment samples, together with the speaker-matching thresholds and model and version metadata the app uses to recognize your voice. In app versions that offer optional cross-device voiceprint sync, your voiceprint is uploaded only after you explicitly choose to sync it; transcript sync does not upload it. Your original enrollment recordings (WAV files and other voice samples) stay on your device and are not uploaded.
- Plan, usage and billing records: your account and plan status, meeting-minute allowances and usage, and, if you subscribe to a paid plan (Notes, Career or Interviewer) or buy an add-on, the related Stripe customer, subscription and invoice records. Payment card details are entered on Stripe's pages, not on Meetini.
- Access data: your account's app access permissions, or an invitation or license key if you use a previously issued key to download the desktop app and receive updates.
- Technical data: request information such as IP address and browser or app details that our hosting and service providers process when you use Meetini.
3. Why we use it
- To provide Meetini: live transcription, notes and suggestions, cloud transcript history and your account.
- If you choose to sync a voiceprint in an app version that offers voiceprint sync: to store your voiceprint with your account so the app can recognize your voice on your other signed-in devices.
- To sign you in, check app access permissions and keep accounts secure.
- To track plan allowances and usage, and to process paid plan subscriptions, renewals and cancellations and add-on purchases.
- To answer support and privacy requests and to fix problems.
- To prevent abuse and to meet legal obligations.
4. Service providers
We use the following service providers to run Meetini. We share personal information with them to operate the service, not to sell it or for advertising.
- Clerk: sign-in with Google or a one-time email code, and account sessions.
- OpenAI: live audio and AI requests, sent through Meetini's server using Meetini's OpenAI API key. Meetini's OpenAI key stays on its server.
- Cloudflare: Meetini's server functions and its databases, including Cloudflare D1 for synced meeting text and account, plan and usage records, and the private download and update service. If you choose to sync a voiceprint in an app version that offers voiceprint sync, Cloudflare also stores your encrypted voiceprint profile.
- Stripe: checkout, payments, invoices and the billing portal for paid plans and add-ons, if you subscribe or make a purchase.
- Vercel: hosting for the meetini.net website, which relays your signed-in account and transcript requests to Meetini's server. The website does not receive your meeting audio, an OpenAI API key or voice samples.
Each provider handles data under its own terms and privacy policy, including how long it keeps data.
5. Cloud sync settings
- After you sign in to the desktop app, new meeting text (transcript and notes) syncs to your account by default.
- You can turn cloud sync off in the app's account settings to stop new uploads. Existing cloud records remain until you delete them.
- Keeping transcripts on your device across app restarts can also be on by default. You can change this under Settings → Data & advanced → Keep transcripts after closing the app.
- Voiceprint sync is separate from transcript sync. In app versions that offer it, voiceprint sync stays off until you explicitly choose to upload your voiceprint. Transcript sync does not upload your voiceprint, and enrollment recordings are not uploaded either way. If you choose to sync a voiceprint, it is encrypted and stored in Cloudflare storage scoped to your Meetini account, so your signed-in devices can retrieve it.
6. How long data is kept
- Cloud meeting text stays in your active cloud history until you delete it. After deletion, it may remain recoverable through the transcript database's Cloudflare D1 Time Travel recovery history for up to 30 days. That window applies only to this database recovery history, not to every backup, export or log.
- Synced voiceprint profile, if you choose to sync one, stays with your account until you delete it. Deleting it removes the active cloud profile, so none of your signed-in devices can fetch it from the cloud afterward. Cloud deletion does not erase the original enrollment samples (WAV files) on your devices, and it cannot instantly remove a copy that a device already has open in memory or cached locally; to remove those, delete local data separately on each device. Earlier versions may remain recoverable through the voiceprint database's Cloudflare D1 Time Travel recovery history for that history's configured recovery period, so deletion is not immediate, permanent erasure from every system.
- Data on your device stays there until you delete it or remove the app's data.
- Live audio and AI requests are processed by OpenAI, and request information is processed by our hosting providers, under their own retention practices. We have not set out provider-specific retention periods in this notice.
- Account, plan, usage and billing records are kept while your account exists and as long as needed to provide the service, handle billing and meet legal obligations. Stripe keeps payment records under its own policies.
- Security and abuse-prevention records are kept as long as needed to keep accounts secure, prevent abuse and resolve disputes.
- Access data (invitation or license keys) is kept while it is needed to provide downloads and updates.
7. Deleting your data
- Cloud transcripts: on your Account page you can delete a single cloud transcript or all cloud transcripts. Deletion removes active records immediately; the D1 Time Travel window above still applies.
- Data on your device: Settings → Data & advanced → Delete all local data removes saved transcripts, any locally saved notes, settings and voice data from that device. It does not delete cloud transcript history, a synced cloud voiceprint profile, copies you exported, or data already sent to OpenAI for processing.
- Cloud voiceprint profile: if you choose to sync a voiceprint, you can delete your synced voiceprint separately from cloud transcripts and from local data. Deletion removes the active cloud profile so your signed-in devices can no longer fetch it from the cloud. It does not erase the original enrollment samples (WAV files) stored on each device or instantly remove a copy a device already has open in memory or cached locally, so you still need to delete local data separately on each device. The voiceprint D1 Time Travel recovery history described above may still hold earlier versions for its configured period.
- Your account: account self-deletion is not available yet. To ask us to delete your account, email info@meetini.net.
- Exported copies you saved or shared outside Meetini are yours to manage; deleting data in Meetini does not delete them.
8. Privacy requests
To ask about your personal data, or to request access, correction or deletion, email info@meetini.net from the email address on your Meetini account. We may need to confirm that the request comes from you before acting on it. We will handle requests as required by the privacy laws that apply to you.
9. Changes to this notice
We may update this Privacy Notice. When we do, we will post the updated notice on this page with a new effective date.
